The Video/Audio Session Guide for Coaches

This Guide will walk you through the specifics on how to do video or audio sessions with your clients. 

Take a quick read through before your first session so you are familiar with the technology.

How do I have a video/audio session with a client?

In order to have a video session with a client, follow these steps:

  1. Open
  2. Click on Chat in the menu on the left
  3. Select the client you would like to have a video session with
  4. Click the Video button at the top of the chat screenNote: The first time you click the ‘video’ button, a box will then pop up instructing you on how to mark a video session as complete
  1. Once you’ve read the instructions click, “OK, got it!”
  2. If a dialogue box pops up that says “Please allow pop ups” click “OK”. Note: If you have a pop-up blocker, please enable to allow pop-ups. (You may have to change this in your computer preferences.)
  3. This will send the video/audio session invitation to the client in chat and immediately open the Zoom application, beginning the live session. The default is set to the video turned on, so be ready! :)
  4. A pop-up screen will appear asking if you want to turn on audio. Check the box in the bottom left of the screen if you want the audio to be turned on by default in all future calls. For more on how to use the Zoom app, go here.
  5. This is what the client will see when you invite them to start a video session:
  6. At the end of your session, you can close Zoom by clicking the ‘End Meeting’ button in the bottom right corner. Then, close the zoom application, selecting “End call for all”. This will end the video call for you and your client.7. Don’t forget to confirm the session after you’ve finished!

How do I confirm a video/audio session?

In order for the session to be marked as complete in the client’s profile, you will need to confirm that it went successfully (meaning no technical issues that prevented your call from taking place). To mark the session as complete, click on Chat>Client>Subscription. Scroll down and click on +Add Session. A dialogue box will pop up.

Enter the correct specifications for the call and click Confirm. This will confirm that you had a video call with your client. Use this to mark no shows as well.

The completed call is now listed in the Subscription section under Sessions / Session Status.

What is Zoom?

Zoom is a video conferencing app that helps you connect with your client via video &/or audio calls. You will need to download the app in order to have a live video/ audio session with a client.

How do I download and install the zoom app for video counseling?

You can download the Zoom client app here. After you have downloaded it, open the file and install it on your device.
